Supercharging Workflows using AI
Use AI to upgrade your traditional workflows and improve your outputs
The future is primed for human-AI co-intelligence, yet many people are unaware of AI's capabilities to supercharge workflows. Transform traditional workflows, speed up production, and improve your output using existing AI tools. We have compiled a list of traditional tasks that have been or could be transformed using AI.
The first part is an AI skills matrix listing the differences in traditional vs AI-enhanced approaches to existing workflows. The latter is a description of which tools to use and embed in your workflows. These workflows may not work well for all cases but are meant to give readers an idea of how to conceptualize AI-enhanced workflows and choose the right tools.
AI Skills Matrix
Skill | Traditional Approach | Transformed Skill |
---|---|---|
Project scheduling | Manually creating Gantt charts and estimating timelines based on experience | Professionals focus on strategic milestone definition while AI generates optimized schedules based on historical project analytics |
Task allocation | Assigning tasks based on stated availability and perceived expertise | Professionals provide strategic oversight while AI analyzes team capabilities, workload patterns, and project requirements for optimal assignments |
Campaign automation | Creating rigid workflow sequences with manual A/B testing and audience segmentation | Marketers define strategic objectives while AI continuously optimizes targeting, creative elements, and channel mix in real-time |
Content creation | Manual research, writing, and editing of marketing copy | Marketers focus on brand voice and strategic messaging while AI assists with ideation, drafting, SEO optimization, and personalization at scale |
Data preparation | Manual collection, cleaning, and structuring of datasets | Analysts define data quality parameters while AI handles collection, cleaning, normalization, and identification of potential issues |
Forecasting | Building statistical models limited by analyst expertise and data volume | Analysts focus on contextual interpretation while AI generates complex forecasts using multiple algorithms and previously inaccessible data sources |
Research | Manual searching, reading, and synthesizing information from limited sources | Consultants define research parameters while AI rapidly analyzes vast information repositories and identifies non-obvious connections |
Decision structuring | Applying established frameworks and creating decision trees manually | Consultants focus on client-specific insights while AI suggests decision maps, pre-populates frameworks, and simulates potential outcomes |
Content ideation | Brainstorming based on personal experience and trend analysis | Creatives define conceptual direction while AI generates diverse variations, identifies unexpected connections, and tests audience reception |
Artistic expression | Creation limited by individual technical skills and time constraints | Artists focus on creative vision and curation while AI assists with technical execution, style exploration, and rapid prototyping |
AI Workflows
Project Management
AI-powered predictive scheduling
Use Perplexity Pro to research typical timelines and task dependencies for projects similar to yours within your industry.
Input the project tasks and the research findings into a spreadsheet (Sheets or Excel). Use Formula Bot to generate formulas for calculating task durations and dependencies based on AI-driven insights.
Visualize the schedule using the spreadsheet software or import the data into a project management tool (like Asana or Notion) for tracking and collaboration.
Intelligent resource automation
Create a comprehensive team skills matrix in a spreadsheet (Sheets or Excel), then input project tasks with required skills and priority levels.
Use Claude to analyze task requirements against team capabilities.
Implement the AI's suggested assignments in your project management tool (like Monday’s Work Management).
Use Monday to reassess and assign the right people to the right projects.
Marketing
Dynamic campaign intelligence
Define the campaign's objectives, target audience, and key performance indicators (KPIs).
Set up the initial campaign structure in an AI-powered marketing automation platform (like HubSpot or Salesforce Marketing Cloud).
Leverage the platform's AI to dynamically adjust ad placements, audience segmentation, and creative variations based on real-time performance data.
Use Perplexity to monitor industry trends and competitor campaigns, prompting the AI to suggest potential optimizations or new strategies.
Augmented content development
Define the content topic, target audience, and desired brand voice.
Use ChatGPT (with Search enabled) to conduct initial research, generate content outlines, and draft sections of the marketing copy.
Use AI writing assistants (Jasper or Writesonic) to write up/brush up your marketing copy by refining the language and do grammar checks.
Consulting
Knowledge synthesis acceleration
Define the research question and relevant areas of interest.
Use AI-powered search engines (Perplexity) or research-specific AI apps (Elicit) to gather the most relevant information ranging from academic papers, news articles, and industry reports. You also could use Perplexity (or Grok) to create comprehensive Deep Research reports that leverage on relevant social media posts.
Utilize NotebookLM to analyze the key insights from the relevant documents and reports you have gathered.
Augmented decision architecture
Clearly define the client’s problem, strategic questions, decision parameters, and constraints.
Use ChatGPT+ (GPT-4.5) to process and analyze client data, identify trends, and generate insights.
Use the Lucid Custom GPT connector on ChatGPT to create AI-generated diagrams (decision trees) based on insights from the LLM (GPT-4.5).
Use client feedback to refine decision architecture as you edit the file on Lucidchart.
Creative Roles
Inspiration amplification
Import your brand colors (from Canva or other creative apps) and your mood board to Adobe Firefly and have it generate a visual template.
Use Adobe Firefly to create variations of your visuals (e.g. different colors or style).
Evaluate the visuals with Gemini 2.5 to identify historical, cultural, or thematic parallels, sparking new creative connections.
Adjust visuals in Adobe Firefly or Canva, using generative fill in Canva to adapt them to required aspect ratios.
Collaborative creation ecosystem
Set your parameters (color, design style, text) and prompt Grok to generate multiple color palettes along with descriptive prompts.
Prompt GPT-4o to generate at least two alternative visuals per prompt/style. Re-prompt to iterate the visuals according to your taste or needs.
Analyze the visuals with GPT-4o for platform-specific optimization (e.g., X, LinkedIn, Reddit).
Lay out the best variations on a Miro board, enabling team voting to select the most effective designs for each platform.
